Privacy Policy

This Privacy Policy applies to all applications in the Vidyavan platform, including Vidyavan Admin, Vidyavan Driver, and Vidyavan Parent (collectively, the "Vidyavan Apps"), developed and operated by Orivellix Engine ("we", "us", "our"). By using any Vidyavan App, you agree to the collection and use of information as described in this policy.

Vidyavan is a transport management platform used by school and coaching transport operators ("Operators") to manage drivers, students, routes, and live vehicle tracking, with the goal of improving safety and transparency for parents and institutions.

1. Information We Collect

1.1 Information collected from Operators (Admin App)

• Business/institution name, owner name, phone number, city
• Driver details: name, phone number, license number, license/medical/police verification document expiry dates
• Student details: name, school name, parent's phone number, assigned route and stop
• Vehicle details: registration number, seating capacity, insurance and RC expiry dates

1.2 Information collected from Drivers (Driver App)

• Phone number, for identity verification via One-Time Password (OTP)
• Real-time GPS location, collected only while a trip is actively in progress
• Trip records: start time, end time, route taken, student pickup/drop timestamps
• Emergency (SOS) alerts, including location at the time of the alert

1.3 Information collected from Parents (Parent App)

• Phone number, for identity verification via OTP
• Access is granted only when an Operator has already added the parent's child to the platform — parents cannot create an account independently
• Complaints or feedback submitted through the app
• Vacation/leave requests submitted for a child

1.4 Automatically collected information

• Device information (device model, operating system version) for troubleshooting
• App usage data for improving reliability and performance

3. Data Sharing

Vidyavan is a closed, multi-tenant platform. Data is strictly scoped to the Operator who added it and is never shared with other Operators on the platform.

• An Operator's Admin App can view all data for drivers, vehicles, and students they manage.
• A Driver can view only the students, route, and trips assigned to them.
• A Parent can view only their own child's/children's data — never another family's information.
• We do not sell personal data to third parties.
• We do not use student or location data for advertising.

We may share data with third-party service providers strictly to operate the platform (for example, Google Firebase for authentication, database, and hosting; Google Maps for location display). These providers are bound by their own data protection obligations and only process data on our behalf.

4. Data Storage and Security

• Data is stored on Google Firebase infrastructure with industry-standard encryption in transit and at rest.
• Access to Operator data is restricted using phone-number-verified authentication — no data is accessible without a verified login.
• Live location data is only broadcast while a trip is active and is not permanently stored beyond what is needed for trip history.

5. Data Retention

• Attendance and trip history is retained for the duration the student or driver remains active on the platform, plus a reasonable period for record-keeping (typically the current academic year).
• When an Operator removes a driver or student from the platform, associated login access is revoked immediately. Historical trip records may be retained in anonymized or aggregated form for safety auditing.
• You may request full deletion of your personal data at any time (see Section 8).

6. Children's Data

Vidyavan processes student (child) data solely for the purpose of school/coaching transport safety, and only at the direction of the Operator (the school, coaching center, or transport business) responsible for that child. Parents/guardians must consent to their child's enrollment through the Operator before any data is collected. We do not knowingly allow children to directly create or operate accounts on any Vidyavan App.

7. Location Data

Driver location is collected only:

• While the Driver App is actively running a trip
• To power live tracking shown to Operators and the relevant parents
• Location sharing stops automatically when a trip is marked complete

We do not track driver location outside of active trips.

8. Your Rights Under the DPDP Act, 2023

If you are a resident of India, you have the following rights regarding your personal data:

• Right to Access — request a copy of the personal data we hold about you.
• Right to Correction — request correction of inaccurate or incomplete data.
• Right to Erasure — request deletion of your personal data, subject to legal or safety record-keeping requirements.
• Right to Withdraw Consent — parents may withdraw consent for their child's data processing at any time by contacting their Operator or us directly.
• Right to Grievance Redressal — raise concerns about how your data is handled using the contact details below.

To exercise any of these rights, contact us using the details in Section 11. We will respond within a reasonable timeframe as required by applicable law.

9. Third-Party Services

Vidyavan Apps use the following third-party services, each with their own privacy practices:

• Google Firebase (Authentication, Firestore Database, Realtime Database, Cloud Messaging) — firebase.google.com/support/privacy
• Google Maps Platform — policies.google.com/privacy

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page. Continued use of any Vidyavan App after changes are posted constitutes acceptance of the updated policy.
